This Privacy Policy explains how Sunset Solutions N.V., trading through Easy Rent Pro, handles personal information in connection with the Easy Rent Pro website, Easy Web Rent trials and subscriptions, sales, billing, support, communications, and platform operations. A rental company using Easy Web Rent is separately responsible for its own customer-facing privacy notice.
1. Scope and identity
This policy applies to visitors, prospective customers, trial users, account administrators, authorized users, contacts, suppliers, and other people who interact directly with Easy Rent Pro. It also describes, at a high level, how Easy Rent Pro handles Customer Data as a service provider.

2. Information we collect
We may collect:
- name, company, job title, postal address, email address, and telephone number;
- trial, subscription, plan, domain, account, user, and service configuration information;
- billing contact, invoice, transaction reference, payment status, tax, and order information;
- support requests, emails, calls, chat records, feedback, and troubleshooting information;
- IP address, browser, device, operating system, language, referrer, pages viewed, log-in activity, timestamps, and security logs;
- marketing preferences and interaction with communications;
- information voluntarily supplied through forms, demonstrations, meetings, surveys, imports, integrations, or project work.
We do not require customers to send complete payment-card numbers or card security codes to Easy Rent Pro. Primary card details should be processed by the applicable payment provider through its secure payment interface.
3. Sources
Information may come directly from you, your employer, an account administrator, the website, Easy Web Rent, authorized integrations, payment providers, communications suppliers, analytics or security tools, public business sources, and service partners.
4. How we use information
We use personal information to:
- respond to inquiries and provide demonstrations or trials;
- create, administer, secure, and support accounts;
- deliver hosting, subscriptions, integrations, migrations, training, and custom work;
- process orders, invoices, renewals, refunds, cancellations, and accounting;
- authenticate users, prevent fraud, investigate incidents, and protect infrastructure;
- communicate service, support, security, billing, and legal information;
- improve reliability, usability, documentation, and product functionality;
- analyze aggregate website and service usage;

5. Legal bases
Where GDPR or similar law applies, processing may be based on performance of a contract, steps requested before entering a contract, compliance with legal obligations, legitimate interests in operating and securing the business, consent, or another lawful ground.

6. Customer Data in Easy Web Rent
Rental businesses may store personal data about their customers, drivers, employees, reservations, rentals, documents, payments, and operations in Easy Web Rent. For that data, the rental business generally determines the purposes and means of processing and acts as controller; Easy Rent Pro generally processes the data as its service provider or processor.
We do not use a rental company’s client list to compete with it, market unrelated Easy Rent Pro products directly to its rental customers, or sell those records.
7. Payments
Payment providers process card or bank information under their own privacy and security terms. Easy Rent Pro may retain invoice number, customer and company name, billing address, tax information, transaction reference, payment status, amount, currency, and related accounting records.
Payment information is used to complete transactions, prevent fraud, provide subscriptions, handle disputes and refunds, and comply with financial and legal obligations.
8. When information is shared
We may share information with:
- hosting, infrastructure, backup, monitoring, security, support, email, messaging, analytics, and communications providers;
- payment processors, banks, accountants, auditors, insurers, advisers, and collection providers;
- integration providers selected or authorized by the customer;
- government, courts, regulators, law enforcement, or other parties where required or permitted by law;
- a buyer, investor, affiliate, or successor in connection with a legitimate corporate transaction, subject to appropriate safeguards.
We do not sell personal information to third parties for their independent marketing.
9. International processing
Information may be processed in Curaçao, the United States, the Netherlands, Singapore, or other locations used by approved service providers. The locations used can change as infrastructure and suppliers evolve.
Where international-transfer restrictions apply, we use an available lawful mechanism and appropriate contractual, technical, or organizational safeguards.
10. Retention
We retain information for as long as reasonably needed for the purposes described, including the life of the account, support, security, backups, taxation, accounting, disputes, legal compliance, and enforcement.
Retention periods vary by data type. Trial and inactive-account information may be removed after the applicable operational period. Billing and legal records may be kept longer where required. Backups remain until normal rotation or deletion.
11. Security
We use measures intended to protect information against unauthorized access, alteration, disclosure, loss, and destruction. Measures may include access controls, authentication, encryption where appropriate, managed hosting, logging, monitoring, backups, updates, and incident-response procedures.
No transmission or storage method is completely secure. Users must protect credentials, devices, networks, integrations, and exported files and promptly report suspected compromise.
12. Cookies and similar technologies
The website and service may use necessary cookies for authentication, security, preferences, language, sessions, and form operation. Analytics or marketing technologies may also be used where permitted and, when required, after consent.
Browser controls can block or delete cookies, but disabling necessary cookies may prevent parts of the website or service from functioning.
13. Marketing communications
You may receive product information, updates, and offers when permitted by law or when you choose to receive them. You may unsubscribe through the message instructions or by emailing privacy@easyrentpro.com.
Unsubscribing from marketing does not stop essential account, billing, security, support, legal, or service communications.

Requests should be sent to privacy@easyrentpro.com. We may verify identity and authority, and may decline or limit a request where permitted by law. When the request concerns data controlled by a rental company using Easy Web Rent, it should normally be directed to that rental company.
15. Children
Easy Rent Pro is a business service and is not directed to children. We do not knowingly solicit children to create business accounts. Rental companies are responsible for determining whether and how they lawfully process information about minors in their operations.
16. Incidents
If we identify a confirmed security incident affecting personal information, we will investigate, contain, remediate, document, and provide notices required by applicable law or contract.
17. Third-party links and integrations
The website and platform may link to or integrate with third-party services. Their privacy policies govern their processing. Customers should review those policies before enabling an integration or submitting information.
18. Changes to this policy
We may update this policy to reflect legal, product, supplier, security, or operational changes. The revised version will be posted with an updated date. Material changes will be communicated where required.
